Vehicle and luggage guide

Choosing an airport transfer vehicle for passengers and luggage

Choose the vehicle around the people and everything they are bringing. A seat count alone does not tell you whether the whole holiday party and its luggage will fit.

Count everyone and every item first

Before requesting a quote, ask each traveller what they are bringing. Count every passenger, including children, then list large suitcases, cabin bags, pushchairs and other equipment separately. A group travelling with hand luggage has different requirements from the same group returning from a long holiday.

Use the passenger and luggage controls in the quote and read the capacities shown for the available vehicles. The displayed options are the place to check suitability for your journey. Do not assume every car or minibus has the same luggage space.

Which option should you compare?

Journey needsWhat to check before booking
A small party with ordinary bagsCompare the quoted car options with the total passengers and cases, including hand luggage.
Extra cases, a pushchair or bulky equipmentReview larger luggage options and contact the team about items that do not fit a standard bag description.
A family travelling with childrenCount every child as a passenger and agree child-seat and luggage requirements before confirming.
A larger groupCompare the vehicle arrangement shown in the quote and check whether the group will travel in one vehicle or several.
A passenger with accessibility requirementsDiscuss the specific boarding, wheelchair and assistance requirements with the team before choosing a vehicle.

This table is a planning checklist. The capacity and vehicle arrangement offered for your actual booking take precedence.

Describe unusual luggage clearly

Golf bags, sports equipment, musical instruments and folded mobility equipment are not always interchangeable with suitcases. Give the team the item type, approximate dimensions and whether it folds. If you are unsure how to record an item in the quote, ask before confirming.

Include the bags people will keep near them during travel. Adding large items at collection time can leave the confirmed vehicle unsuitable, so update the booking if the luggage plan changes.

Plan family requirements in advance

Tell the team the ages of children and any child-seat requirements, including whether you will bring your own seats. Agree availability and fitting arrangements before booking. Do not assume a child seat will be supplied automatically.

Count the pushchair as luggage and consider its folded size. If you need to keep it available until reaching the airport, explain that when arranging the journey. This helps the collection and loading plan reflect what your family needs.

Keep group pickups organised

For a group, choose one lead contact and agree where everyone will wait with their bags. If people need separate pickups, include the actual addresses when requesting the journey. Tell the team about access restrictions at hotels, venues or rural properties.

Check the quote's vehicle arrangement before confirming. If several vehicles are needed, agree how the group and its luggage will be divided, and make sure passengers have the relevant collection information.

Check the return separately

The return may involve a different number of people, more luggage or a different destination. Review those details when adding the journey home. Use the flight's UK landing date and arriving flight number for the airport collection.

If travellers split up after the holiday, arrange extra destination stops in advance. Keeping the complete journey accurate is more useful than selecting the same vehicle or address automatically.
