1. Exact pickup and destination
Use the full pickup address where possible and identify the airport clearly. For airport collections, include the terminal or flight details if you have them rather than relying on a generic airport name.
2. Travel date and useful flight information
For an outbound journey, the flight departure helps you work backwards from the airline’s recommended check-in time. For an inbound collection, the arriving flight number gives the booking a clear reference.
3. Passenger count
Include everyone travelling. The number of passengers affects the vehicle options that are suitable for the journey.
4. Luggage count
Large suitcases, cabin bags, pushchairs and bulky items can change the vehicle requirement. A realistic luggage count is more useful than assuming a vehicle will have spare boot space.
5. One way or return
If both legs are known, keeping the outbound and return information together makes the complete airport journey easier to organise.
